Let’s Talk About...Planning Timeline
Things to Consider:
- What type of event are you planning - speaker, dance, band?
- What are the goals of the event?
- How does the event relate to the purpose of your organization?
- Who is the intended audience?
- What logistics do you need to consider - room reservations, contracts, risk management, catering?
- Do you have the budget for the event?
Planning:
A Month Before the Event
- Involve other parties and co-sponsors (Student Organizations, Campus Safety, Facilities, Event Planning, Catering)
- Consider best dates and facilities
- Secure contracts and organize facility related issues
- Follow risk management protocol
- Consider advertising ideas
Two Weeks Before the Event
- Ensure contracts are in place
- Assign duties to specific people
The Day of the Event
- Check in with facility manager and performers
- Stay calm and enjoy the event!
After the Event
- Take down publicity and return equipment
- Resolve all financial issues
- Write a detailed evaluation
- Thank those who helped out
Remember to follow the contract approval process and be sure to have completed contracts 10 business days before the event or your event/reservation will be canceled!
