New communication, collaboration, calendaring system for Santa Clara University

Dear Colleagues:

I am pleased to announce that Santa Clara University will be replacing the GroupWise email/calendaring system with Google Apps for Education. Google’s integrated suite of applications will not only provide Santa Clara students, faculty and staff with a combined email and calendaring environment, but it will also allow online collaborative creation and editing of documents, spreadsheets, and presentations. In addition, it will offer easy creation of groups & web sites and provide each SCU user with 5GB of secure online storage and file sharing capacity.

I want to thank the 2011-12 Task Force on Communication and Collaboration (http://www.scu.edu/is/communication/) for its work identifying campus needs for communication and collaboration services and researching tools and practices to better support those needs. The Task Force conducted an extensive study, explored potential options, surveyed faculty, students & staff, and developed a recommendation that the University migrate from GroupWise to Google Apps for Education. After consulting with various constituencies, the President approved the Task Force’s recommendation.

An external partner has been engaged to assist with the conversion from GroupWise to Google Apps. Preliminary plans anticipate two separate test-user groups, followed by campus-wide conversion in late fall or early winter quarter. Information Technology will be announcing shortly the launch of a project web site that includes the implementation schedule, blog and FAQ sections, details on training and online self-help services, and feedback mechanisms for the campus community.

This new suite of tools is a critical first step in enhancing the way students, faculty and staff communicate and collaborate with one another as well as with those outside the Santa Clara community. I understand that the transition to Google will require all users to learn a new system in place of GroupWise. I greatly appreciate your full cooperation adapting to the change.
