Current Residents
Although this may seem a little early to be thinking about June 2012, we wanted to make sure that you have all of the necessary information about move out in advance, as you return home for the Winter Break.
Please pay careful attention to the policies listed in your community handbook, as they include items that are prohibited in the residence halls and carefully consider any items you may bring back to campus in January. For those of you that have lived on campus before, please pay special attention as some aspects of the move-out process have changed.
What is the move-out process ?
At move-in you should have completed your room condition report (RCR) and submitted it to your Community Facilitator (CF). We use this form as a record of the initial condition of the room. In June, you will be required to sign up for a move-out appointment with your CF. At this time, you will turn in your keys and the CF will do a preliminary check of your room for any damages not listed on the initial RCR. Each resident is responsible for damages beyond normal wear and tear. Residents will be billed for any extraordinary cleaning that results from inadequate cleaning or excess trash.
After all of the Residence Halls close, Santa Clara Housing and Residence Life staff members will inspect each resident's room to conduct a final check for room damages. This check is done to ensure that all damages in a room are found, documented, and properly billed at the conclusion of the year. No person, except SCU Housing and Residence Life staff will enter the room until all damages have been assessed. At this point, any damages found will be billed to the resident's student account and will appear on your July bill. If this is the case, a letter will be sent to you, notifying you of the charge. If you or your roommate wish to have the charges split in a different fashion than indicated in the note, you may contact your Resident Director to consider the adjustment. In order to request a change or appeal a charge, you will need to contact your Resident Director prior to August 20th. There will be no adjustments after this date.
For your reference, please review the list of common damages and estimated charges associated with reconciling those damages. Please remember that you cannot opt to repair any damages on your own and attempts to do so often render additional charges.
If you have any additional questions about the process, please feel free to contact your CF.FOR UNIVERSITY VILLAS RESIDENTS ONLY - Those students that check out of their Spring accommodation by Sunday, June 17 at 9pm will be eligible to receive a $100 credit to their Bursar's account.
In order to receive the credit, the following conditions must be met:
- All residents in the unit must schedule a check-out appointment and follow all move-out procedures
- All residents in the unit must be checked out by Sunday, June 17 at 9pm (Students are only eligible if their apartment mates/roommates are checked out by the same time.)
- All residents in the unit must be checking out for the entire summer. (Students moving in to summer housing are not eligible.)
In the event that all conditions are met, each student in the unit will receive the $100 credit to their Bursar's account.
