What is the maximum capacity for attendance in The Bronco?

Who has the authority to refuse service and control the capacity for attendance at my event? Benson Memorial Center Information Desk Staff, Bon Appetit Staff, or a University Employee has the right to refuse service and control crowds.
What can the Benson Memorial Center Information Desk Staff assist me with for my event?
The Benson Memorial Center Information Desk Staff can assist you with: Sound & Lighting Questions Equipment Setup Possible Extra Equipment Needs such as requesting an extension cord Emergency Information
What can the Bon Appetit Staff assist me with for my event? The Bon Appetit Staff can assist you with all issues related to food or beverage services. In addition, they can assist you with problems related to alcohol consumption with those participating in your event.
When do reservation changes need to be made?
Reservation changes need to be made 72 hours prior to the event date and should be made through Benson Memorial Center’s Event Planning Office.
When does the setup for my event take place? Setup takes place a half-hour before an event unless otherwise requested.
Can Non-University guests of Santa Clara University come to my event?
Guests of Santa Clara University are allowed to come to The Bronco accompanied by a member of the SCU community, but the University reserves the right to ask them to leave.
What am I responsible for as the organizer of the event? As the organizer of your event, you are the responsible host for the evening ensuring everyone knows what is going on and who is responsible. Please greet everyone as they come to The Bronco and stay until everything is clean and ready for the next day.
I have a garage band and am not affiliated with a recognized student organization, can I play in The Bronco? One of the privileges recognized student groups have is to plan events for free in Santa Clara University’s facilities. If you are interested in performing, you should talk to CSOs and RSOs on campus to see if they would be interested in sponsoring you to come play in The Bronco. The Office of Student Life or Benson Memorial Center may be willing to sponsor the event. If interested, please see Sarah Maciel (Presidential Fellow) located in Benson Office #1 or call 551-6003.
What do I do if my contracted band/performer gets drunk midway through their performance? The Standard Engagement Agreement does not allow a performer to arrive under the influence of, or be impaired to the slightest degree by intoxicating beverages or any other drug. If you are aware of this, you should ask them to leave and cancel the performance.
Can my band/performer have a beer during their performance? Bands/performers may drink during their performance if legally of age. However, they should not be consuming so much alcohol that it impairs their ability to the slightest degree. If that is the case, they are breaching the contract. **NOTE: Recognized student groups cannot be reimbursed for the purchase of alcohol even if the purchaser is of legal age.
Why are student groups allowed to plan events in The Bronco and still have alcohol at their event? This goes against the Community Handbook Policy. Student groups are allowed to plan events in that space. By planning in The Bronco, they are not planning an event by bringing alcohol to the event. The Bronco is a facility that is licensed to serve alcohol. Because an event takes place in that venue, a student organization is not planning alcohol around their event.
Can I bring a lecture style speaker into The Bronco? The Bronco does not allow lecture style speakers to take place during the normal academic year. Lecture style speakers are not allowed in The Bronco because other activities must remain open to Bronco visitors including watching TV or playing billiards and ping pong. The continuance of such activities in The Bronco is disruptive to the speaker and other casual users. Activities such as watching TV are distracting to speaker and makes for a poor quality event. Furthermore, having a speaker in The Bronco puts pressure on casual users not to use other activities such as the TV, inhibiting their ability to freely use The Bronco. Therefore, The Bronco does not allow lecture style speakers in The Bronco. If you have any questions about your event, please ask before making a reservation.
Can I turn off all the lights in The Bronco for my event i.e. dance party night?  There is a minimum safety lighting system that is required around the perimeters of the facility. This is to ensure safety should an emergency occur. You should contact the Benson Memorial Center Information Desk Staff to help you change any lighting for your event.
Can I cater food during my event in The Bronco? You can work with Bon Appetit, authorized food/beverage service provider for the University, to have food catered at your event. Because the Space Usage Guidelines state that events and activities should be open to everyone, you cannot limit who receives the food/beverage service you have catered. It must be open to everyone.
Can I bring food from Market Square into The Bronco? What about from Stuft Pizza? Yes. Students can bring food from Market Square if they are eating their breakfast, lunch, or dinner for themselves. You may even bring food from outside to do that. However, under the University Food Contract, you cannot bring food from outside for the event you are sponsoring on campus. You must work with Bon Appetit to provide catered food for your event. Can donations be taken at an event in The Bronco? Yes. Donations can be taken in The Bronco as long as people do not have to make a donation to come to the event or enter into the venue.
