Petty Cash

If the expenses that your student organization needs to pay total less than $250, then you can request petty cash to be withdrawn from your fund accounts. After paying for expenses with this cash, all receipts and invoices as well as any change must be submitted to Arcelia Rodriguez within 24 hours of receiving the cash. Limit one petty cash request per event.

  • Petty cash or cash advance? In general, petty cash is for purchases of an estimated amount where as a cash advance is for an exact amount.

Cash Advances

If the expenses that your student organization needs to pay total any dollar amount, then you can request a cash advance to be withdrawn from your fund accounts. After paying for expenses with this cash, all receipts and invoices as well as any change must be submitted to Arcelia Rodriguez within one week of receiving the cash.

  • Petty cash or cash advance? In general, petty cash is for purchases of an estimated amount where as a cash advance is for an exact amount.

Check

If an expense that your student organization needs to pay totals $250 or more, then you can request a check.

  • For chartered student organizations (CSOs), submit an invoice or purchase order for the expense as well as a Payment Request Form directly to Arcelia Rodriguez at the Locatelli Student Activity Center.
  • For registered student organizations (RSOs), submit an invoice or purchase order for the expense as well as an Expense Request Form and leave in the tray for RSOs at the front desk of the Locatelli Student Activity Center.

For RSOs:

  • If paying from ASG quarterly funds or discretionary funds, payment requests are due within 10 business days after the purchase or event.
  • If paying from RSO club funds, payment requests are due within 30 business days after the purchase or event.

University Purchasing Card

Talk to your advisor in the Center for Student Involvement to discuss options related to paying via the University purchasing card (credit card).

  • Note: The University purchasing card should be used as the last option for payment if all other methods are not viable.
