Send to Global Distribution List

Santa Clara University maintains several global e-mail distribution lists.

Mailman, the distribution list software, accepts messages for a list and if all validity and authorization checks pass, Mailman will send the message to all list members.

Authorization

Each list is configured to allow certain authorized groups to send messages to the list.  The categories of authorized groups are:

  • List Owner
  • Poster - allows authorized "posters" to occasionally post to a restricted list. A poster may not be a subscriber to the list.
  • Subscriber - allows list subscribers to post messages.
  • Faculty / Staff / Students - allows members from different groups to post messages, for example, staff members can post to the SCU-Faculty list and faculty members can post to the SCU-Staff list.
  • SCU - requires an SCU email address to post to a list.
  • All - allows anyone, whether a subscriber to the list or not, to post messages to the list.

Distribution Lists

See the appropriate table below for each global e-mail distribution list. The tables provide the list names, the email address to post to the list, the authorization groups allowed to post, and the email address to contact the List Owner.

Several of the global email distribution lists are restricted to who can post. Generally, if the "All" authorization type is no, then the list is restricted to posts from the list community (list owners, posters, and subscribers) only. In the tables below, the restricted lists are indicated by an asterisk ('*') after the list's name (e.g. Student Events *). For information on how to get authorization to post to a restricted list.

There is a maximum message size of 1500 KBs for messages sent to the global e-mail distribution lists.  Mailman, the list distribution software, does enforce the maximum message size so that messages process faster resulting in quicker distribution. A picture or document is considered to be large if it is over 400 kilobytes in size.  To reduce message size:

“Plain Text” vs. “HTML” E-Mail Messages
Switching your email message to Plain Text will reduce the size of your message.

Reduce Picture Size
Use a compressed format - JPEG, PNG, or GIF and reduce image resolution. Do not attach or include large pictures in your messages.

Reduce Document Size
If your attachment is too large, consider linking to a file on google drive or creating a web page on your website, and adding the URL to your email.

The SCU-Faculty, SCU-Faculty-Essential, SCU-Staff, SCU-Staff-Essential, SCU-Grad-Events, SCU-Grad-Essential, SCU-Student-Events, and SCU-UGrad-Essential email distribution lists are all refreshed on a yearly basis in mid October. Additionally, with new arrivals and departures, the lists are modified throughout the year.

Any questions regarding a particular list should be sent to the List Owner at the List Owner e-mail address in the table.
