Records Access PolicySanta Clara University permits public access to its archives within the context of respect for individual privacy, administrative confidentiality, and the integrity of the records. It reserves the right to close all or any portion of its records to researchers. At the time of transfer of University files to the Archives, the administrator of the transferring office may specify a date for opening the files, or portions of them, to researchers. If no date is specified for opening, the files may be opened to researchers 20 years from the date of their transfer to the Archives. At time of archival processing, the archivist may recommend to the office a specific date for opening the files. At the time of transfer of files, the administrator will also be given the opportunity to direct the archivist regarding disposition of duplicates or non-archival materials found in the files. The archival files of any office may be opened to a qualified researcher by the administrator of that office or his/her designee at any time. Archival collections may be used by researchers only in the Reading Room of the University Archives and may be photocopied only at the discretion of the archivist.
