Individual Faculty/Staff International Travel

SCU supports faculty/staff traveling abroad on university-sponsored international travel. To make sure you receive support, use the 1-Minute Faculty/Staff Travel Registry to register your travel. See FAQs about university-sponsored international travel and additional resources below.

1-Minute Faculty/Staff Travel Registry

  • Deadlines
    • Register travel no later than 4 weeks prior to anticipated departure.
    • If you are also requesting an International Travel Policy exception, submit your request no later than 6 weeks prior to anticipated departure.
    • Registration should be submitted by this deadline even if certain aspects of travel such as funding have not been confirmed.
  • Include airports you will transit through and list them in the countries/areas

After you register your travel via the 1-Minute Registry, you will receive an email with a copy of your responses and important reminders.

This Travel Registry allows faculty/staff to request an exception to the University International Travel Policy within the regular international travel registration process. Policy exception requests will require travelers to gather additional information to respond to questions and you can preview policy exception request questions. Normally, policy exception requests are reviewed by the Travel Policy Advisory Committee (TPAC) and the Provost within 15 business days. Travelers will receive notification via email.

Travel Preparation

All travelers should prepare for travel. Suggested preparations include:

  1. Review the US Department of State Travel Advisories and alerts. Identify and abide by all required visa, health insurance, and vaccination/medication information for the specific travel location(s).  
  2. Register with the US Embassy abroad prior to departure via the: US Department of State Smart Traveler Enrollment Program (STEP).
  3. The U.S. embassies abroad actively monitor terrorist threats from organized groups and radicalized individuals. Attacks may happen with little or no warning, targeting tourist locations, major sporting and cultural events, and other public areas that attract large numbers of civilians. Actions you should take:
    • Avoid areas of demonstrations
    • Exercise caution if in the vicinity of large gatherings or protests
    • Monitor local media for updates
    • Be aware of your surroundings
    • Keep a low profile
    • Notify friends and family of your safety
    • Take care with political speech abroad
  4. Review the Center for Disease Control Health Information, and follow recommendations for the location and activity
  5. Verify your passport is valid for six months following your anticipated return to the US and keep a photocopy of the inside photo pages of your passport with you, separately from your passport.
  6. Ensure all vaccinations and boosters are current prior to travel.
  7. Remain knowledgeable about your location through reputable news sources regarding changing health and safety conditions prior to departure and be prepared to make adjustments to ensure health and safety, as needed.
  8. Verify you understand your insurance coverage abroad including verifying that your additional health insurance coverage for non-emergency medical situations is valid in the country/area of travel and processes for reimbursement. Some locations may be excluded from SCU coverage due to DOS Travel Advisories. Contact risk@scu.edu with questions regarding SCU insurance.
