The University’s new space reservation and event management system - 25Live - will launch campus-wide on Monday, January 5, 2026!

If you plan events or book space on campus, we invite you to register for one of the in-person, hands-on training sessions being offered December 8-16 and January 5-8.  These in-person training sessions will cover submitting the 25Live Event Form to reserve campus spaces, requesting event resources, and showing you how to monitor the progress of your event requests during the approval process.

Key Dates for Event Requests:

  • There will be a space request blackout period on Ad Astra between December 18 and January 4. During this time, all approved Ad Astra event data will be migrated to the 25Live platform.
    • Please continue to use Ad Astra for all event requests through Wednesday, December 17, 2025.
    • You will NOT need to re-request event spaces in 25Live that have already been approved in Ad Astra.
    • REMINDER: Classroom space requests will not be approved until the Office of the Registrar completes all course assignments at the start of each term.  We recommend that you wait until January to request Winter Quarter classroom space as pending Ad Astra requests will not migrate into 25Live.
  • 25Live will take new event requests starting on January 5, 2026.

The 25Live working group is here to ensure that the transition to the new platform is as seamless as possible!  Should you have any questions, please reach out to 25Live@scu.edu.

FAQs

A: 25Live is a comprehensive event scheduling and space management software designed for colleges, universities, and other institutions. It helps manage and streamline the process of scheduling classes, booking rooms, planning events, and coordinating resources.

Santa Clara University is switching from Ad Astra to 25Live to create a centralized, modern, and more efficient scheduling system for the entire campus. Ad Astra, in use since 2004, has become outdated and difficult to use and its limitations make it unsuitable for SCU’s current needs. Most importantly, a centralized system like 25Live is critical for supporting campus-wide coordination, planning, and emergency response by providing accurate, real-time information about space usage. Fully supported by President Sullivan, 25Live will streamline scheduling, enhance communication, and improve coordination across all departments.
