FAQs

  • For budget management and spend control, P-Card limits are not high.
  • Most of your purchases should be done via Punchouts or invoiced by the supplier.
  • P-cards should be used for incidental purchases, in-person purchases, or purchases where the supplier does not allow any other payment methods.
  • Splitting transactions into multiple transactions is not allowed and may result in the loss of card privileges.
  • Prepaying for goods/services, especially for high dollar amounts, can put significant risk on the University, especially if there ends up being any issues with the fulfillment of what you ordered. It is best to take advantage of payment terms (i.e., Net 45, Net 30, Net 15, etc.) whenever possible. 
  • Capital purchases of $2,000.00 and higher need to go through the proper Workday approvals and should not be charged to a PCard.
  • Oftentimes, there is an extra charge for paying with a credit card, and SCU may get incentives when paying on payment terms.

Cards are not tied to Cost Centers, but to the individual. A cardholder’s default Worktags depend on the Supervisory Organization maintained by Human Resources.

If a cardholder moves to a different Cost Center, nothing needs to be done on the Workday side; cards (and transactions) are not tied to a specific Cost Center.

Contact pcard@scu.edu to update your card information to reflect the correct Cost Center on the bank side.

If a cardholder no longer needs their card or will be leaving SCU, simply send pcard@scu.edu an email letting us know the desired date to close the card account.

Cards can be shredded and disposed of, and do not need to be returned to the University Finance Office.
