Graham Service Desk

Hours of Operation

  • Graham Residence Hall | 8am -10pm daily
  • All other community desks will be available from 5pm - 10pm

Conference Services Representatives (CSR's) are available at the Graham Residence Hall front desk to assist guests with

  • Lock outs
  • Maintenance Concerns
  • Access issues or lost cards
  • Lost and Found

 

CHECK-IN | Begins at 2:00 PM

Check-in can be provided by SCU Conference Services staff or by the groups on-site coordinator.

The following is provided 

  • Access card - used for building access and dining meals
  • Complimentary SCU lanyard

How to use the your access card:

  • To enter your building, simply tap the access card through the reader located near the front door of the building.
  • If dining is provided tap the access card to the designated entrance

CHECK-OUT | 12PM

Conference organizers and chaperones should do a final walk through of all their spaces including, meeting/classrooms and lounges used to remove all items from their conference/event. A final walkthrough after guest check out is recommend for lost and find prior to departing.

  • Key Return: All issued physical keys and access cards must be returned to the designated drop box or desk to avoid replacement fees.
  • Room Inspection: Rooms and event spaces should be left in good condition, with all personal belongings removed prior to departure.

  • Departure Deadlines: Check-out times must be strictly followed unless late departure arrangements have been requested and approved in advance.

Santa Clara University prioritizes the health, safety, and well-being of all campus guests through comprehensive emergency preparedness protocols. In the event of an urgent situation, established procedures ensure immediate communication and prompt assistance.

  • Emergency Contacts: Dial 911 for immediate life-safety emergencies or call Campus Safety at 408-554-4444 for on-campus urgent assistance.

  • Evacuation Plans: Designated assembly areas and evacuation routes are posted in all campus buildings and residential facilities.

  • Alert Notifications: Event hosts and participants can receive real-time campus safety alerts and updates during active emergency situations.

Lost and Found

  • What if I left something behind?
    • Please contact our office at (408) 554-4302 or email us at conferenceservices@scu.com. Leave us your name, the conference you attended, the building and room number in which you stayed, contact number and the item left behind.
  • Central Office: Misplaced items are turned over to Campus Safety Services, located in the Parking & Transportation Building.

Personal Property

  • The University does not assume responsibility for personal property of conference guests. Personal items left after the group's departure will be held by Conference & Event Services for up to thirty (30) calendar days. Personal items that are lost or stolen should be reported to the Graham Front Desk, 408.554.4302 or Campus Safety 408.554.4441

Guests staying in university housing are expected to uphold standards that maintain a quiet, safe, and clean living community. These guidelines ensure a comfortable stay for all summer conference attendees and campus residents.

  • Quiet Hours: Designated quiet hours are enforced nightly to support a restful environment for all residential guests.

  • Occupancy Limits: Room assignments and maximum room occupancy guidelines must be respected throughout the duration of your stay.

  • Alcohol & Smoking: Smoking, vaping, and unauthorized alcohol use are strictly prohibited inside all residential halls and living quarters.

Laundry Services

Laundry facilities are available in each residence hall. Preloaded access cards can be purchased at the front desk for Graham for the use of the facilities. 

Malley Fitness Center

The Malley Fitness Center is available for overnight guests, that are 18+, to use at an additional fee. This facility includes basketball courts, workout equipment and pool. Note that the basketball courts and pool are subject to availability.

Mailing Services

Mail is delivered Monday through Friday (except for U.S. Postal Services holidays). Mail can be picked up at the Front Desk of Graham Residence Hall until 9:45pm daily.

Wi-Fi

Wi-Fi is complimentary for all guests and visitors. Connection time is limited to 8 hours. 

  1. Choose SCUGuest from the list of available WiFi networks.
  2. Use a browser to navigate to any web page to load the login page. Click on the "terms and conditions" link to review SCU's policy to use this network.
  3. Close the policy, and check the box to accept the terms and conditions.
  4. Browse the internet!

All event hosts, participants, and visitors must comply with Santa Clara University guidelines to maintain a safe, respectful environment. Understanding these general campus regulations helps ensure a successful event that respects the university community.

  • Facility Usage: All reserved spaces must be used strictly for their approved purpose and returned to their original layout after the event.

  • Non-Discrimination: Events and programs on campus must adhere to SCU’s community standards regarding diversity, inclusion, and respect.

  • Signage & Decorating: Posting signs, banners, or decorations requires prior approval and must follow designated hanging procedures to avoid facility damage.

Lost Access Cards & Lockouts

If you lose or damage your access card, please contact or head to the Front Desk of Graham Residence Hall. Guests who lock themselves out of their unit, should go to the front desk of their respective building or wait by their door.

On-Site Parking

Parking permits are needed two weeks (14 days) prior to check-in. Parking costs are not included with housing rates and will be billed separately. Permits should be clearly displayed and participants should park as directed. Permits are valid at any space designated by Parking and Transportation to the Group. Participants will be charged for all requested parking permits. University will not refund any unused or underused permits. 

Residential permits are valid only in the Group’s designated lot and in lots of C, CW, or CN. Overflow parking is available in F lots.  Overnight parking permits must be displayed Monday - Sunday, 24/7. 

There is no onsite parking for buses. 

 

PUBLIC TRANSPORTATION

Santa Clara University is conveniently located across the street from the Santa Clara Transit Center, home to the CalTrain, Amtrak, ACE and Santa Clara Valley Transit Authority. Santa Clara University is 3.1 miles from the San Jose Mineta Airport. The Airport Flyer makes a continuous loop between the Metro Light Rail Station, the Santa Clara Caltrain Station and the Airport Terminal.

ZipCars are available onsite in the Casa parking lot off of Accoliti Way.
