W-2 Tax Form Paper Opt-out Option

As we start the processes of generating the 2019 W-2 Tax forms, we would like to encourage all active employees to consider opting out of receiving a paper W-2 form. To encourage employees to opt-out of paper form we are holding a raffle contest.

As we start the processes of generating the 2019 W-2 Tax forms, we would like to encourage all active employees to consider opting out of receiving a paper W-2 form.

By opting out of the paper form you reduce the risk of having your W-2 form misplaced or lost in the mailing process and you will also contribute to the sustainability efforts of reducing paper used. This year we anticipate generating more than 5,000 W-2 forms and we are hoping to reduce the number of paper forms to less than 50%. To encourage employees to opt-out of paper form we are holding a raffle contest. Every employee who opts out of receiving W-2 paper form between December 1, 2019, and January 17, 2020, will be entered to win a parking permit for 2020 – 2021 year. We will raffle up to 3 parking permits for three lucky winners as follows:

If we get 25% of staff and faculty employees opting out, we will raffle one parking permit
If we get 50% of staff and faculty employees opting out, we will raffle two parking permits
If we get 75% of staff and faculty employees opting out, we will raffle three parking permits

The raffle will take place on Friday, January 31, 2020.

Employees who have opted out in years past will need to process their opt-out election again in Workday.

How to opt-out of paper W-2 Forms in Workday:

Select the “Pay” Worklet => Select “My Tax Documents” under the View section => Select the “Edit” option => Select the “Receive electronic copy of my Year End Tax Documents” and click OK/Done
