Chapter Leadership

Be a Part of Your Chapter Leadership Team!

Santa Clara University is proud to spread the Bronco spirit across the globe through our 34 regional and ethnic chapters.  Chapters are led by active volunteers, ready and willing to plan and promote events meaningful to their unique community.

Regardless of the size of your regional community, having strong and well-defined leadership is a key component to its success.  The size of your chapter leadership team will depend on your community’s size and activity level.  Most larger chapters (1000+ alumni) are led by a committee with a president and several other volunteers.  Smaller chapters may be led by one or two regional representatives.

  • Plan and execute a consistent calendar of events; the number can be decided based on the size and interests of your chapter.
  • Depending on the size of your chapter, recruit a committee of alumni volunteers to assist with planning events. We encourage you to have a committee that is representative across schools and decades.
  • Communicate regularly with your local volunteers, planning committee, or co-chair. This may include in-person meetings or conference calls.  It is up to you to determine the best method of communication for your unique group.
  • Serve as a local resource for current or incoming students as well as alumni that are new to the area or prospective students.
  • Respond to inquiries about your alumni chapter from fellow alumni or university staff.
  • Promote events on Social Media and through personal outreach.
  • Communicate with your Alumni staff liaison regularly to best serve the alumni population in your area.
  • Keep track of attendance at events. Share the names of walk-ins and no shows with your staff liaison.
  • Take pictures during events and submit them to your staff liaison, or post to social media.
  • Represent SCU at local admission events.
  • Participate in the annual New Student Welcome Program.
  • Attend biennial Chapter Workshop on campus.
  • Maintain accurate contact information with the university and encourage others in your area to do the same.
  • Allow your name and email address to be listed on your chapter webpage.
  • Keep all alumni contact information and mailing lists confidential and used for alumni purposes only. Announcements or other communications used for personal, commercial or political gain are strictly prohibited.
  • Comply with policies and requests from the SCU Alumni Association.

International Chapter Criteria:

  • You must have a primary address in the country you are representing. Ideally, you must live there for at least six months of each year.
  • Your country must have a minimum of 100 SCU alumni residents.

International Chapter Leader Requirements:

  • Organize a minimum of one event each calendar year for the local alumni population.
  • Serve as a resource for alumni within your community. This may include connecting alumni, parents and students, or prospective students in your area.
  • Serve as a point of contact for the university and the SCU Alumni Association for events or programs held within your country.
  • Maintain communication with your Alumni staff liaison.
  • Maintain accurate contact information with the university and encourage others in your area to do the same.
  • Allow your name and email address to be listed on your chapter webpage.

Support provided to International Chapter leaders by the SCU Alumni Association Office:

  • A list of local alumni and their email addresses will be provided. Keep all alumni contact information and mailing lists confidential and used for alumni purposes only. Announcements or other communications used for personal, commercial, or political gain are strictly prohibited.
  • A Facebook group will be created to assist with communication among alumni in your country.
  • An alumni staff liaison will provide assistance with registering or promoting your events.

  • Event in a Box ~ Organize a Santa Clara event in your area!

    Each year the Santa Clara Alumni Association receives numerous requests from alumni across the country for events in their area.  We greatly appreciate the enthusiasm of our alumni and always want to encourage those connected to Santa Clara to get together.  If you do not find a chapter in your area, nor the minimum number of alumni required to start a chapter (200) we have an opportunity for you. The Event in a Box program allows alumni to host their own alumni event.

  1. Submit the Event in a Box Application Form prior to the event (eight to 10 weeks is recommended).
  2. Contact your venue to reserve space and determine price per person.
  3. Finalize the contract with your venue (if applicable) and coordinate logistics.
  4. Promote your event. Contact area alumni to encourage attendance (via social media, phone calls, etc.)  Work with the SCU Alumni Association Office to coordinate email blasts and/or additional social media promotion.
  5. Determine your volunteer job needs, such as registration, decorations, photography and cleanup.
  6. Following the event, complete the Event Summary Report and send it to the Alumni Association Office.

The SCU Alumni Association Office will:

  1. Assist event planner with creation and execution of promotional plan (i.e., email invitations).
  2. Send Event in a Box supplies and the Event Summary Report to the event planner.
    1. Name tags and registration sheet
    2. SCU swag for each guest
    3. SCU pennant for a group photo
  3. Take registrations.
